Terms of Service

The rules for using PaintBoss websites, business accounts and services.

Written to be clear and practical

These policies explain how PaintBoss operates, protects information and supports the people and businesses using the platform.

Agreement and eligibility

By creating an account or using PaintBoss you agree to these Terms and the Privacy Policy. You must provide accurate information, be authorised to act for the organisation and be able to enter a binding agreement in New Zealand.

Accounts and businesses

The subscribing organisation controls its business account and appoints administrators. Administrators control membership and permissions. Accounts are personal and must not be shared. You are responsible for protecting credentials, reviewing access and promptly reporting suspected compromise.

Service use

You may use PaintBoss for lawful painting-business operations. You must not misuse the service, bypass security, access another business account without permission, upload unlawful or harmful material, infringe rights, scrape private information or interfere with availability.

Your information and content

You retain ownership of information and content you provide. You grant PaintBoss the limited permission needed to host, copy, process, back up and transmit it to deliver requested features. You are responsible for having authority to provide it and for the accuracy of business, tax, safety and financial records.

Subscriptions and payments

Prices, included usage, GST treatment, trial length and renewal terms shown at checkout form part of your subscription. Paid subscriptions must not be activated until checkout and cancellation terms are presented and accepted. Cancellation stops future renewal but does not automatically erase records that must be retained or complete an immediate backup purge.

Third-party services

Xero, Google, Stripe, Cloudflare, email providers and other integrations have their own terms and availability. PaintBoss will only perform actions permitted by the connection you authorise. You remain responsible for reviewing accounting, tax, payment and safety outcomes before relying on or approving them.

Availability, changes and backups

PaintBoss aims to provide a reliable service but does not promise uninterrupted availability. Maintenance, security events and third-party outages may affect service. PaintBoss maintains recovery controls, but organisations should export records they are independently required to retain. Material service or policy changes will be communicated where reasonably practicable.

Suspension and termination

PaintBoss may restrict access to protect users, data or systems, respond to unlawful use or address unpaid subscriptions. Where safe and lawful, reasonable notice and an opportunity to export data will be provided. A documented retention and deletion process applies after termination.

Liability and New Zealand law

Nothing in these Terms excludes rights that cannot lawfully be excluded. To the extent permitted by law, PaintBoss is not responsible for decisions made from estimates, AI output, third-party data or unreviewed accounting, tax or safety information. These Terms are governed by New Zealand law. Commercial liability limits and dispute provisions require legal review before paid public subscriptions are activated.
